We understand that circumstances can change and that occasionally an event may need to be cancelled or amended.
This policy explains how cancellations and refunds are handled by Rose Events Catering.
Nothing in this policy affects your statutory rights.
Cancelling Your Booking
If you need to cancel your booking, please contact us as soon as possible by email at:
Please include your name, event date and booking details.
Your cancellation will be treated as received from the date we receive your written cancellation.
Booking Payments and Refunds
A 50% booking payment is normally required to secure your event date.
If you cancel your booking, Rose Events may retain an amount that reasonably reflects the losses directly caused by the cancellation.
This may include, where applicable:

stock or products already purchased specifically for your event;
-
supplier costs already committed;
-
staffing costs already committed;
-
administrative or preparation costs already incurred; and
-
loss arising from reserving the event date where it cannot reasonably be rebooked.
We will take reasonable steps to reduce our losses wherever possible.
If the amount you have already paid is greater than our reasonable cancellation losses, the appropriate balance will be refunded to you.
We will not automatically retain the full amount paid simply because a booking has been cancelled.
Cancellations Close to the Event Date
The closer a cancellation is to the event date, the greater the losses Rose Events may reasonably incur.
For example, stock may already have been ordered, staff may have been arranged and the reserved date may no longer be capable of being rebooked.
For this reason, cancellation charges may be higher for late cancellations.
Any amount retained or charged will be based on the reasonable losses arising from your particular booking rather than an automatic fixed penalty.
Final Balance
The final balance for your event is normally due 31 days before the event date.
If you cancel after making the final payment, this does not automatically mean that the entire payment will be retained.
Any refund will be calculated after taking into account the reasonable losses Rose Events has actually incurred or is unable reasonably to avoid.
Changes Rather Than Cancellation
If your plans change, please speak to us before cancelling.
Where possible, we will try to accommodate reasonable changes such as:

changes to guest numbers;
-
amended service times;
-
changes to the selected package;
-
changes to products; or
-
other reasonable amendments.
Changes are subject to availability and may affect the final price.
If you need to request a change of event date, please contact us as early as possible.
We will consider date changes individually and will try to transfer your booking where reasonably possible, although this will depend on availability and any costs already incurred.
Cancellation by Rose Events
In the unlikely event that Rose Events has to cancel and cannot provide the agreed service, we will offer either:

a suitable alternative where reasonably possible; or
-
a refund of payments made for services that we are unable to provide.
We will not retain payment for a service that Rose Events cancels and does not provide, except where the law permits otherwise.
Events Beyond Our Reasonable Control
Occasionally an event may be affected by circumstances genuinely outside either party’s reasonable control.
Examples may include:
-
severe or dangerous weather;
-
emergency venue closure;
-
significant transport disruption;
-
power failure;
-
government restrictions; or
-
other exceptional circumstances that could not reasonably have been avoided.
If this happens, please contact us as soon as possible.
We will try to find a practical and fair solution, which may include rearranging the booking where reasonably possible.
Any refund or amount retained will take account of:
-
services already provided;
-
unavoidable costs already reasonably incurred;
-
costs that can be recovered or avoided; and
-
applicable consumer law.
Specific-Date Events and Cooling-Off Rights
Rose Events provides catering and event services for specific event dates.
The usual statutory 14-day cancellation right that applies to many distance contracts does not generally apply to contracts for catering or certain leisure-related services that are supplied for a specific date or period.
This does not affect the protections provided by consumer law relating to fair contract terms or services that are not provided as agreed.
How Refunds Are Paid
Where a refund is due, we will confirm the amount with you in writing.
Refunds will normally be returned using the original payment method where reasonably possible.
Please allow a reasonable processing period for funds to appear in your account after the refund has been issued.
Questions About a Cancellation Charge
If any amount is retained following a cancellation, you may ask us to explain how it has been calculated.
We are happy to provide a reasonable breakdown of the relevant losses or costs associated with the cancellation.
